Mistake 1: Not Reconciling Bank Accounts Monthly

 

If you're not reconciling your QuickBooks data against your actual bank statements every month, your books are unreliable — full stop. Reconciliation catches duplicate entries, missed transactions, and bank errors before they compound into a mess at year-end.

 

 

Mistake 2: Using Incorrect Account Types

 

Posting a loan repayment to an expense account. Categorizing owner draws as payroll. Running personal expenses through the business. These mistakes distort your financial statements, inflate or deflate your taxable income, and can cause serious problems with the IRS. Chart of accounts setup matters.

 

 

Mistake 3: Ignoring Accounts Receivable

 

QuickBooks makes it easy to create invoices — but many business owners never follow up on overdue ones. Your A/R aging report tells you exactly who owes you money and for how long. Review it weekly. Chase it consistently. Cash that's owed to you is not cash in your account.

 

Mistake 4: Letting Books Fall Behind

 

We see it all the time: a business owner who last touched their books in Q1 and is now trying to reconstruct six months of transactions in November. Monthly (or even weekly) bookkeeping is always cheaper and faster than a catch-up project. Stay current.

 

Mistake 5: Never Using the Reporting Features

 

QuickBooks generates over 100 reports. Most business owners use two or three — or none. Your Profit & Loss, Balance Sheet, and Cash Flow Statement should be reviewed monthly at minimum. These documents are the instruments on your cockpit — fly blind at your own risk.
